The Central Massachusetts Youth Football and Cheer Conference ("CMYFCC," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our public website (cmyfcc.com) and our member administration portal (cmyfcc.app), together the "Services."
Who uses our Services
Our Services are used primarily by adult administrators and officers of member associations — presidents, directors, registrars, treasurers, and conference board members — to register teams, pay conference fees, and manage association information. The Services are not directed to children, and individuals register teams and counts, not individual participants, through the portal.
Information we collect
- Association & officer details you provide — names, email addresses, phone numbers, mailing addresses, and roles.
- Team registration information — divisions, team and roster counts (coaches and players), head-coach contact information, cheer squads, and flag-program counts.
- Account information — the email address you sign in with (via Google or email and password) and your assigned role.
- Payment information — conference dues and seasonal fees are processed by our payment provider, Stripe. We do not collect or store your full card number; Stripe handles card data directly.
- Technical information — standard log, device, and cookie/authentication data used to keep you signed in and to operate and secure the Services.
How we use information
- To register associations and teams and to administer the season.
- To collect dues and seasonal fees and to keep accurate billing records.
- To provide proof-of-insurance certificates and meet league and insurance requirements.
- To communicate with you about your association, registration, and payments.
- To secure, maintain, and improve the Services.
How we share information
We do not sell your personal information. We share it only with:
- Service providers who run the Services on our behalf — Google Firebase (authentication, database, and hosting) and Stripe (payment processing).
- League and insurance partners (including American Youth Football/Cheer and our insurance broker) as needed to provide coverage and certificates.
- Authorities when required by law or to protect the safety and rights of participants and the conference.
Children's privacy
The online Services are intended for adult administrators. We do not knowingly collect personal information directly from children under 13 through the website or portal. Information about youth participants is handled by member associations in accordance with their own policies and applicable law. If you believe a child has provided us personal information, please contact us and we will delete it.
Data retention
We keep information for as long as needed to administer the conference, meet our legal, accounting, and insurance obligations, and resolve disputes. You may ask us to update or delete information that is no longer required.
Security
Payments are handled by Stripe, connections are encrypted, and access to administrative data is limited by role. No method of transmission or storage is completely secure, but we work to protect your information.
Your choices
You may review or correct your association's information from within the portal, or contact us to request access, correction, or deletion of your personal information.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version here and revise the "Last updated" date above.
